1. About Rebrand POS
Rebrand POS is a private-label point of sale software service operated by an individual sole trader based in Larnaca, Cyprus. By purchasing or using Rebrand POS, you agree to these terms.
2. The Service
Rebrand POS provides a hosted, branded billing and reporting system configured to your business. The service includes:
A hosted web application accessible via a unique URL
Configuration of your services, prices, VAT rates, and currency
Automated Telegram report delivery
Ongoing support for menu and pricing changes
3. Setup Fee & Monthly Subscription
A one-time setup fee covers the initial configuration and deployment of your system. A monthly subscription of €19 covers continued hosting, Telegram automation, and ongoing support. The setup fee is non-refundable once configuration has begun. Monthly fees are charged in advance and cover the following calendar month.
4. Cancellation, Refunds & Right of Withdrawal
You may cancel your monthly subscription at any time with no penalty. Access continues until the end of the paid period. There are no lock-in contracts or minimum terms. Full detail on refunds and your right of withdrawal as an EU/UK consumer is in our Refund & Cancellation Policy.
5. Non-Payment & Suspension
If a payment fails or is not received, we will attempt to notify you and give you a reasonable period to resolve it before any action is taken. If payment remains outstanding, we may place your system into a read-only state (you can still view existing data, but not create new bills) until payment is received. We do not delete your data for non-payment alone. If an account remains unpaid for an extended period, we may terminate the service after further written notice; you can request an export of your data before that point.
6. Payment Processing
Rebrand POS does not process card payments on your behalf. It logs and tracks payment methods for reporting purposes only. You remain responsible for your own payment processing arrangements.
7. Data & Privacy
Your billing data is stored in a dedicated database instance. It is not shared with third parties or aggregated with other clients' data. See our Privacy Policy for full details.
8. Uptime & Availability
We aim for maximum uptime using industry-standard hosting providers (Netlify, Railway, MongoDB Atlas). We do not guarantee uninterrupted service but will resolve any outages promptly. Planned maintenance will be communicated in advance.
9. Limitation of Liability
Rebrand POS is provided as-is. We are not liable for any loss of revenue, data, or business arising from system downtime, misconfiguration, or any other cause beyond our reasonable control. Our total liability is limited to the monthly fee paid in the month in which the issue arose.
10. Changes to the Service
We reserve the right to update pricing with 30 days' written notice. Changes to these terms will be published on this page with an updated date.

2. What Data We Collect
When you use or sign up for Rebrand POS, we may collect:
Your name, business name, email address, and phone number
Your business configuration data (services, prices, VAT rates, currency)
Your Telegram username for report delivery
Billing transaction data entered into your POS system
Payment information processed via Stripe (we do not store card details)

4. Data Storage & Security
Your billing data is stored in a dedicated MongoDB Atlas database instance hosted in the EU. Your data is not shared with, or accessible by, other Rebrand POS clients. We use industry-standard security practices including encrypted connections (HTTPS/TLS) throughout.
5. Third-Party Services
We use the following third-party services to operate Rebrand POS:
Meta (Facebook) Pixel — advertising analytics, only if you accept cookies (facebook.com/privacy/policy)
6. Your Rights (GDPR)
If you are based in the EU/EEA, you have the right to access, correct, or delete your personal data at any time. To exercise these rights, contact us at info@rebrandpos.com. We will respond within 30 days.
7. Data Retention
We retain your data for as long as your subscription is active, plus 90 days after cancellation to allow for any final reporting needs. After this period, your data is permanently deleted on request.
8. Cookies
This website sets one essential cookie for basic functionality. With your consent (via the cookie banner), it also loads the Meta (Facebook) Pixel, which sets an advertising cookie used to understand visitor behaviour and show relevant ads to past visitors. It does not load, and sets no cookie, until you accept. See our Cookie Policy for full detail and how to change your choice.
9. Are You a Rebrand POS Client?
If you're a paying client, this Privacy Policy covers our own website (rebrandpos.com). Your own POS system's data handling — the billing and customer data your business enters — is covered separately by our Data Processing Agreement (DPA), which you should have received at signup. You can request a fresh copy any time by contacting us below.
If you're buying as a consumer in the EU or UK, you normally have a 14-day right to withdraw from an online purchase without giving a reason. Because setting up Rebrand POS involves us starting real configuration work on your system straight away, we ask you to expressly agree, at checkout, that we begin work before the 14 days are up. If you make that request, you acknowledge that your right of withdrawal is lost once configuration work has started, in proportion to the work already done.
If you're buying as a business (which is the case for the great majority of our clients — sole traders and small studios setting up their own billing system), consumer withdrawal rights don't apply in the same way, and the terms below cover cancellation instead.
2. The Setup Fee
The one-time setup fee is non-refundable once we've begun configuring your system, since it covers real work: branding, catalogue setup, VAT configuration, and deployment. If you cancel before we've started that work, the setup fee is refunded in full.
3. The Monthly Subscription
You can cancel your monthly subscription at any time. Cancellation stops future billing; it doesn't refund the current paid period, which you keep access to until it ends. There's no lock-in contract and no minimum term.
4. If Something's Wrong With the Service
If the service is materially not working as described through no fault of your own, contact us first at info@rebrandpos.com so we can fix it. If we can't resolve it within a reasonable time, a pro-rata refund for the affected period may apply.
This is a plain-English summary for anyone evaluating Rebrand POS. If you sign up, you'll be sent the full Data Processing Agreement to countersign — this page doesn't replace it.
1. Who's Who
For the data your business enters into your Rebrand POS system (your customers' names on bills, if you choose to collect them; your billing records), you are the data controller and Rebrand POS is the data processor, acting only on your instructions under GDPR Article 28.
2. What We Process, and Why
Bill and transaction data you enter (services, prices, payment method, and an optional customer name field — off by default) is processed solely to run your billing system: storing bills, generating your reports, and delivering them to your Telegram.
3. Sub-Processors
We use MongoDB Atlas (database hosting), Railway (application hosting), and Telegram (report delivery) as sub-processors. We'll notify you before adding or changing a sub-processor that would handle your data.
4. Security
Your data lives in a database instance dedicated to your business, not shared or aggregated with other clients'. Connections use encrypted HTTPS/TLS throughout.
5. Data Location
Data is hosted on infrastructure within the EU.
6. Your Obligations as Controller
If you choose to record customer names on bills, that becomes your customers' personal data, and you're responsible for having a lawful basis to collect it and for handling any request from them under GDPR. Leaving the customer-name field off avoids this entirely for most businesses.
7. Deletion & Return
On termination, you can request an export of your data. We delete it 90 days after cancellation unless you ask us to delete it sooner.
8. Breach Notification
We'll notify you without undue delay if we become aware of a personal data breach affecting your data.
